Upgrade 2.2

There have been some significant upgrades added to the Personnel Manager Online System recently that will soon be implemented across the board for all clients.

SMS

There is a new tab in the central Navigation Bar entitled SMS.

This has three categories:

1. Send an SMS Message

This simply allows you to write a message in the Text Box and select which staff members to send it to.

This can be done by Business and can be filtered to 2 Activities.

2. SMS Logs

This allows you to view an entire history of all Incoming and Outgoing SMS messages that have been sent by your system. They are colour coded, Incoming Messages are green and Outgoing Messages are red.

It is possible to search by Shift No, Client Company, Crew Name, Date To and Date From, Mobile Number and Business.

3. Client SMS

This allows the Administrator to see how many SMS messages have been used by each client (if configured this way).

Failed SMS Notification.

If a message sent from the Personnel Manager fails to send for any reason, a notification will now alert the user. It will also display as unsuccessful in the SMS Logs.

Search Unlocked Shifts.

It is now possible to search unlocked shifts on the Shifts Page similar to the ability to search Unconfirmed Shifts. This is very helpful when locking off the hours Crew have worked.

Upload File To Jobsheets

It is now possible to upload files to Jobsheets that will appear on the Crew Member Details Page.

When a Staff Member logs into their Page, a notification will inform them that a File has been uploaded, prompting them to download the file and click that they have read the file. Once they have read the file, an Icon on the Shifts Page and in the Jobsheet will go from red in colour with the word Unread to green in colour with the word Read.

SUBURB added to SMS Configuration

The ability to assign the value [SUBURB] to the SMS messages on the Global Settings Page under SMS Configuration has been added. This enables you to include the Suburb where a job will take place, without revealing the exact location of the job in the SMS? message. Once staff accept the job the Confirmed SMS can reveal the specific details of the location. In this way the SMS? can let staff know roughly where a job is going to take place without giving them the details that would enable them to show up and actually work on a shift they were not confirmed on.

There are two ways to enter the Suburb into the Shift.

1. Client Access - There is a Suburb field which is a required field in Step 1 of the booking process.

2. Administrator/Duty Manager/Manager Access - In Meeting Place/Address field of the Jobsheets and/or Shift Edit Page, anything appearing after a comma ( , ) will be deemed the suburb.

EG. Under Meeting Place/Address you may enter 344 George St, Sydney. The database will understand that Sydney is the Suburb because it follows the comma.

Assign X Available Crew (SMS?)

This feature allows you to select names in the SMS? feature more easily. (Shifts Page - Select Shifts - Edit Shifts Pencil Icon - SMS?)

The list of Crew Members that you can select to offer Shifts to in the SMS? mode displays Crew Members that are already booked in the system with an asterix * next to their name and Crew Members with their unavailability entered with a # next to their name. The Assign X Available Crew feature allows you to enter a number value and press GO, automatically populating the list on the right hand side with names you will send the SMS? message to omitting the booked/unavailable staff members.

EG. If you entered 10 and pressed GO, the first 10 available Staff Members would be selected automatically to send the SMS? message to.

New Formats for Incoming SMS to Email

The Subject Line of the email received whenever a Crew Member sends in an SMS message to the Incoming SMS number will now contain more information. The body of the email will also contain ALL details of the shift in question.

Crew Name, Ranking, Type of Message, Shift Number, Business will all display in the Subject Line.

Types of Message that will display in the Subject Line are:

Autoshift Accept - Accept

Autoshift Deny - Deny

Autolock SMS - AL SMS

Autolock SMS - Late - AL SMS - Late

Database Log - Shift History

The Central Navigation Bar now contains a new link - Shift History.

This feature allows the user to search all shifts in the system and see when they were created and by what level of access, including the IP address of the user in question. Any alterations to the system including edits to shifts or Crew Members will be recorded in the Log.

View Shifts as Graph, View Shifts as Calendar

These two Shift views are now accessible in Duty Manager and Manager access.

View Shifts as Graph Upgrade

The View Shifts as Graph Feature (accessible on the Shifts Page) has had a few improvements.

The Bar Graph displays the Activity, Client and Venue.

It is possible to select shifts in the Graphical View and open them in the Shift Edit Mode in order to edit Shifts.
